Privacy Policy

MailRoundup ("MailRoundup", "we", "us") operates the transactional email service available at mailroundup.com. This policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and the choices you have. If anything here is unclear, write to us at privacy@mailroundup.com and we will explain in plain language.

1. Information We Collect

Account information. When you create a MailRoundup account we collect your name, work email address, company name, and a password hash. If you sign in with a third party provider we also receive the profile information they share with us at sign in.

Billing information. If you subscribe to a paid plan we collect billing contact details, the last four digits of your card, the card brand, and your billing address. Full card numbers are handled by our payment processor and never touch our servers.

Message metadata and content. To deliver the email you ask us to send we process the recipient address, the subject line, the body, any attachments, and the technical headers required for delivery. This content is retained only as long as needed to deliver the message and, where you have opted in, to show it back to you in your delivery logs.

Delivery events. We record whether each message was accepted by the receiving server, whether it bounced, whether the recipient marked it as spam, and whether the recipient opened or clicked links, if you have those features enabled.

Usage information. When you use the dashboard we record the pages you visit, the actions you take, your IP address, browser type, and approximate location, for security, debugging, and product improvement.

2. How We Use Information

We use the information above to provide the service you signed up for, to keep it working, to bill you accurately, to prevent abuse of our platform, to reply to your support requests, and to send you occasional service announcements about incidents, maintenance, or material changes to the product.

We do not sell your personal information. We do not use the content of your transactional messages to train models. We do not use it for advertising.

3. Cookies And Similar Technologies

Our website and dashboard use a small number of first-party cookies. Some are strictly necessary to keep you signed in and to remember your preferences. Others help us understand how the product is used so we can improve it. You can control cookies in your browser settings. Disabling strictly necessary cookies will prevent parts of the dashboard from working.

4. Third Parties Who Process Data For Us

We use a short list of trusted service providers to run MailRoundup: a cloud hosting provider for our infrastructure, a payment processor for card handling, an error monitoring service for debugging, and a customer support tool for our shared inbox. Each of them processes personal data only on our written instructions and under a data processing agreement. A current list is available on request.

5. Data Retention

We keep your account information for as long as your account is active, and for a reasonable period afterward to handle billing disputes and legal obligations. Message content and delivery events are retained for the log window associated with your plan, after which they are deleted from primary storage and expire from backups on our standard rotation. Suppression list entries are retained for the lifetime of your account so we can continue to protect the recipients on it.

6. Your Rights

Depending on where you live, you may have the right to access, correct, delete, export, or restrict the processing of your personal information, and to object to certain uses. To exercise any of these rights, write to privacy@mailroundup.com from the email address associated with your account. We will respond within thirty days.

If you are a recipient of an email one of our customers sent through MailRoundup, our customer is the controller of your data. Please contact them first. We will assist them in responding to you.

7. International Transfers

MailRoundup is operated from the United States, and your information may be transferred to and processed in the United States and other countries where our service providers operate. Where required, we rely on standard contractual clauses and equivalent safeguards for these transfers.

8. Security

We take reasonable steps to protect your information, including encryption in transit, principle-of-least-privilege access controls, and audit logging. No system is perfect, so we also maintain an incident response plan and will notify affected customers without undue delay if a breach occurs.

9. Changes To This Policy

We may update this policy from time to time. If we make material changes we will email account owners at least thirty days before the changes take effect. The current version is always available at mailroundup.com/privacy.
